1. About this policy
DiziBell is a campus management platform operated by Digizion (“Digizion”, “we”, “us”, “our”). This Privacy Policy explains how we handle personal data when you visit dizibell.com, contact us, or use the DiziBell platform, including its web portals and mobile apps.
It is published in accordance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 and the Digital Personal Data Protection Act, 2023 (“DPDP Act”). By using the website or the platform you agree to this policy.
2. Our role: website visitors vs. institution data
We handle personal data in two different capacities:
- On this website — for enquiries and demo requests — we decide why and how the data is used, and we are responsible for it.
- On the DiziBell platform, the school, college or group that subscribes (the “Institution”) decides what data about its students, parents and staff is recorded and why. The Institution is the Data Fiduciary; we process that data only on its behalf and on its instructions, as a Data Processor.
If you are a student, parent or staff member of an Institution, questions about your records should go to that Institution first. We will help it respond.
3. Information we collect
Information you give us
When you request a demo or contact us, we collect your name, email address, phone number, the name of your institution, your role, the approximate number of students, the modules you are interested in and any message you write. We also record which page of the website the request came from.
Information collected automatically
Like any web server, ours records technical details of each request — IP address, browser and device type, the page requested, the referring page and the date and time. These logs are used for security and to keep the site working.
Data processed on the platform
Depending on the modules an Institution uses, the platform may hold: student and guardian details (names, contact details, date of birth, address, photographs, documents), admission and enquiry records, attendance, timetables, marks and report cards, fee plans, receipts and dues, staff profiles, leave, payroll and bank details, transport, hostel and library records, and messages sent through the platform. Some of this — such as financial information and records of children — is treated with particular care.
5. How we use information
- To respond to your enquiry, arrange a demo and send the information you asked for.
- To provide, maintain, secure and support the platform for Institutions under their agreement with us.
- To send service messages — account, security, billing and support communications.
- To detect and prevent fraud, abuse and security incidents, and to keep audit records.
- To meet legal, tax and regulatory obligations and respond to lawful requests.
- To send you information about DiziBell, only where you have asked for it or it relates to your enquiry. You can opt out at any time.
6. Consent and lawful use
We process website enquiries on the basis of the consent you give when you submit them, and platform data on the basis of the Institution’s instructions and the consents or lawful grounds it relies on. You may withdraw your consent at any time by writing to us; this does not affect processing already carried out, and we may no longer be able to respond to your enquiry.
7. Children’s data
The platform holds records of students, many of whom are under 18. Under the DPDP Act, the Institution is responsible for obtaining verifiable consent from a parent or lawful guardian where required.
We do not use children’s data for advertising, do not carry out behavioural monitoring or tracking of children, and do not sell or share it for marketing. This website is intended for adults — school leaders, staff and parents — and is not directed at children.
9. Online payments
Online fee payments are processed by the payment gateway the Institution uses, such as HDFC SmartGateway. Card and bank details are handled by the gateway under its own security standards; DiziBell does not store full card numbers, CVV codes or net-banking passwords. We receive and keep the transaction reference, amount and status so receipts and reports are correct.
10. How we protect information
We use reasonable security practices, including encrypted connections (HTTPS), role-based access so each user sees only what their role allows, separation of each Institution’s data, an audit log of changes, locking of closed academic sessions, and backups. No system is completely secure; if a personal data breach occurs, we will inform the affected Institution and the authorities as the law requires.
11. How long we keep information
Enquiry details are kept for as long as needed to follow up and for a reasonable period afterwards, unless you ask us to delete them sooner. Platform data is kept for the duration of the Institution’s subscription and then returned or deleted as agreed with the Institution, except where the law requires us to keep it longer — for example, financial and tax records. Server logs are kept for a limited period for security.
12. Your rights
Subject to applicable law, you have the right to:
- obtain a summary of the personal data we hold about you and how it is processed;
- have inaccurate or incomplete data corrected and updated;
- have your data erased when it is no longer needed, unless the law requires us to keep it;
- withdraw consent you have given;
- nominate another person to exercise your rights in the event of death or incapacity; and
- have your grievances addressed, and to escalate to the Data Protection Board of India.

13. Where data is stored
Data is stored with our hosting providers. Where any personal data is transferred outside India, we do so only as permitted under Indian law and with appropriate safeguards.
14. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed. If a change is significant, we will notify Institutions and highlight it on this page.
15. Grievance Officer and contact
For questions, requests or complaints about personal data, contact our Grievance Officer. We will acknowledge your message and resolve it within the time limits set by applicable law.
